By completing a reservation/booking to any of our Retreats and accepting these terms and conditions you accept these Terms and Conditions as a binding contract between Ashtanga Yoga Shala Jyväskylä/Ashtanga Yoga Rovaniemi (abbreviated AYSJ/AYR) on behalf of yourself and any other members of your booking.

PAYMENT POLICY:

A non-refundable deposit of 500euros is payable upon application to confirm your spot.

Full payment is due as stated in each retreat.  Participants agree to pay any outstanding balance no later than this date. To receive the early bird discount, full payment must be received by the date of the discount. A written/emailed confirmation sent to you by AYSJ/AYR means AYSJ/AYR has accepted your booking and payment.

The price is the exact amount to be received by us in Euros irrespective of fluctuations in currency and irrespective of any third party transfer charges. If you choose to pay by electronic transfer, please instruct your bank to charge all costs to you in order to avoid a shortfall in the amount that we receive.

WAIT-LIST POLICY:

If the retreat is full, we can add your name to our wait-list upon request in writing. If we’re able to confirm your place on the retreat, we will contact you and full payment will be due immediately.

REFUND POLICY: 

All cancellations must be received in writing. If the participant withdraws or transfers from the retreat, the following refund policy applies: If the balance of the retreat fee is not received by the notified due date (four weeks prior to retreat commencement), a participant’s place may be offered to someone on the waiting list. The participants will forfeit the deposit paid.  Each of our retreats has their own Cancellation Policy.  Please refer to the page of the retreat for specific refunds.  

 

If it does not state the specific Refund or Cancellation Policy, the following applies:

  a) If the participant withdraws 60 days or more prior to retreat commencement the participant will be refunded any amounts paid over and above the non-refundable trip deposit.  b) If the participant withdraws 59-30 days prior to the retreat commencement the participant will receive 50% minus the non refundable retreat deposit.  c) If the participant withdraws 29 days or less prior to the commencement of the retreat or during the retreat the full retreat fee is non-refundable.

THE FOLLOWING CONDITIONS APPLY TO ALL OUR RETREATS:

It is your responsibility to ensure your travel documents are in order. As it is the requirement of many countries, please ensure your passport is valid for at least six months after the return date.  AYSJ/AYR strongly advises that you have adequate travel insurance to include full cover for the duration of your journey.  Although we offer full care, we cannot accept any responsibility if you choose not to cover yourself appropriately.

HEALTH, MEDICAL CONDITIONS AND RISKS:

(a) It is your responsibility to let our Yoga Instructor(s) know if you have any injuries and to be mindful at all times of your own body’s capability during the retreat.  If you experience any injury or discomfort during any activity during the retreat, then you must desist immediately.  AYSJ/AYR is not liable for any injuries you may incur.  Yoga classes are undertaken at your own risk.  AYSJ/ AYR is not liable for any medical or psychiatric conditions, which may develop during or subsequent to the retreat.

(b) It is also your responsibility to consult a doctor with an understanding of yoga to check that you are sufficiently fit and healthy to undertake yoga classes and other physical activities that you may choose to do whilst on the retreat.

(c) Please advise us of any mental or physical health conditions and dietary requirements before you book. If you have health conditions and dietary requirements that may be affected by the activities offered on the retreat we reserve the right to advise you to desist and in the interests of your well-being, or others, we may decline your stay at the retreat.  If you do not advise us of your health conditions and dietary requirements we reserve the right to cancel your booking and your payment is forfeit.

(d) Whilst all measures are taken to ensure a high standard of health and safety, the retreat is held in the countryside where the land is uneven (and in the case of the Spring Equinox Retreat, mostly covered by snow and ice) and we shall not be responsible for any injuries caused by uneven terrain and slippery surfaces. 

(e) Women who are 12 to 28 weeks pregnant should provide a letter from their health practitioner specifying that they are fit to travel and able to engage in the activities that we provide.

 

BAGGAGE LOSS OR DAMAGE:

Each participant shall be responsible for carrying/porting and keeping track of his/her own baggage. Any baggage loss or damage sustained while in the custody of an airline, hotel, bus company, or transfer company is not the responsibility of AYSJ/AYR.  AYSJ/AYR recommends purchasing travel insurance with coverage for baggage loss, damage, or delay. AYSJ/AYR is not liable for loss of, or damage to, your personal property during the retreat.

CANCELLATION BY AYSJ/AYR:

AYSJ/AYR reserves the right to cancel the retreat at any time for any reason, and its liability shall be limited to a refund in full of only those moneys it has received from or on behalf of the participant. If the participant has purchased air/train/bus or other transportation tickets, it is his/her own responsibility to become familiar with the penalties and restrictions of the tickets and, in the event of a cancellation or date change by AYSJ/AYR, AYSJ/AYR shall not be held liable for any penalties incurred from the cancellation or change of the transportation tickets.

PHOTO RELEASE AND LICENSE:

Each participant hereby authorizes and grants AYSJ/AYR a royalty-free limited perpetual right to publish on any AYSJ/AYR website(s) and marketing material and social media any photographs and videos with his/her image. In addition, You grant us a royalty-free limited perpetual right to publish on any AYSJ/AYR website(s) and marketing material any photographs and videos which you take or create and provide to us.

 

LIMITED LIABILITY OF AYSJ/AYR:

AYSJ/AYR shall be responsible for supplying the services and accommodations offered in the Retreat Itinerary.  If such services and accommodations cannot be supplied due to causes beyond its control, there shall be no responsibility or liability. In this event AYSJ/ AYR will use its best efforts to supply comparable services and accommodations, and all travel arrangements may be subject to alteration or cancellation at any time with or without prior notice for any reasonable cause. Such alterations will not be considered cause for cancellation by the participant(s), and the usual penalties will apply. Nor shall AYSJ/AYR be liable for any injury, death, loss, damage, accident, delay, irregularity, or expense arising from strikes, war, terrorism, weather or other acts of God, quarantines, sickness, governmental restrictions or regulations, or from any negligent act or omission of any individual, firm, or corporation furnishing air travel, activities, hotel accommodations, ground transportation, or any other services in connection therewith, nor for any additional cost or expense due to disruption of advertised schedules, rates or services, or for any other cause beyond its direct control.
